Our commitment to your privacy
Raina Griffin Speech Pathology ("we", "us", "our") is committed to protecting the privacy of the families and children we work with. Because we provide a health service and hold health information, we are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles, as well as the Health Records and Information Privacy Act 2002 (NSW). This policy explains what personal information we collect, why we collect it, how we use and protect it, and how you can access or correct it.
Speech pathology mostly involves working with children, so much of the information we hold is provided by a parent or guardian on a child's behalf. Where we refer to "your" information in this policy, that includes information you give us about your child.
The information we collect
The information we collect depends on your relationship with us, but it generally includes:
Personal details such as names, dates of birth, addresses, phone numbers and email addresses for you and your child.
Health information, which is treated as sensitive information under the law and given extra protection. This can include your child's medical history, developmental history, assessment results, therapy notes, reports from other practitioners, diagnoses, and any relevant information from doctors, paediatricians, schools or early childhood educators.
Funding and billing details, such as Medicare numbers, NDIS plan details, private health fund information, and payment records, where these apply to your care.
Information you share when you contact us through our website, by phone or by email, including anything you write in an enquiry or booking form.
Technical information collected automatically when you visit our website, such as your IP address, browser type and pages viewed. This is covered in more detail below.
How we collect your information
We usually collect information directly from you, for example when you make an enquiry, complete a booking or intake form, or speak with us during an appointment. Sometimes we collect information from other people involved in your child's care, such as your GP, paediatrician, school or another health practitioner, but only with your consent or where the law allows it.
If we receive information about you that we did not ask for and do not need, we will take reasonable steps to deal with it appropriately, including destroying or de-identifying it where required.
Why we collect and use your information
We collect and use your information to provide speech pathology services to you and your child. This includes:
Assessing, planning and delivering therapy.
Keeping accurate clinical records and communicating with you about appointments and progress.
Liaising with other practitioners, schools or services involved in your child's care, with your consent.
Processing payments and managing Medicare, NDIS or private health fund claims.
Meeting our professional, legal and insurance obligations as a registered health practitioner.
We will only use your information for the purpose it was collected, a directly related purpose you would reasonably expect, or where you have given consent or the law requires or permits it.
Disclosing your information
We do not sell your information or share it for marketing purposes. We may disclose your information to:
Other health practitioners, educators or services involved in your child's care, with your consent.
Medicare, the NDIS or your private health fund, where relevant to your care and claims.
Our service providers, such as our practice management and booking software and our IT providers, who are bound to keep your information secure and use it only for the services they provide to us.
Others where you have consented, or where we are required or authorised to disclose by law, including to comply with mandatory reporting obligations relating to child safety.

Where your information is stored
We hold your information in secure clinical and electronic records. Some of our service providers, including our website host and software providers, store data on servers located outside Australia, including in the United States. Where this happens, we take reasonable steps to ensure your information is handled in line with Australian privacy requirements.
Keeping your information secure
We take reasonable steps to protect your information from misuse, loss, and unauthorised access, modification or disclosure. This includes secure storage, access controls, and staff who understand their privacy obligations. We retain health records for the period required by law and securely destroy or de-identify information once it is no longer needed.
Accessing and correcting your information
You have the right to ask for access to the personal information we hold about you or your child, and to ask us to correct it if it is inaccurate, out of date or incomplete. To make a request, please contact us using the details below. We will respond within a reasonable time. In limited circumstances we may need to decline a request, in which case we will explain why in writing.
